What Operating Systems does this work on?
The Outlook Add-In works with the Microsoft Windows Operating System and requires Microsoft Outlook 2000 or a more recent version of Outlook.
What is the download process?
The Outlook Add-In is available at www.download.com. This site has certified InstantConference’s Outlook Add-In to be free of viruses, Trojan horses, malicious adware, spyware, or other potentially harmful components, so you can feel assured that this download is safe. After downloading, to receive your conferencing info, you will be asked to enter your name and email address and to create a password. It only takes a minute to download and set up an account.
When I tried to download the Outlook Add-In I received a message stating I needed administrator privileges. What does this mean?
Some companies only allow network administrators to download software into employees’ computers for safety reasons. Please contact your IT administrator to complete the download.
How much does it cost?
It is free to download the Outlook Add-In and to use our basic conferencing services. In order for conference participants to reach our centrally located facilities, each one must call a U.S. long distance telephone number that we provide. The only cost to participants is the long distance rate charged by each individual conference participant’s long distance carrier (Sprint, MCI, AT&T, etc.). We do not require the use of any specific carrier, nor do we know what rates you pay on your calling plan. If you can dial a U.S. phone number, you can use our service.
Can I get Toll Free (800 number) conference service?
For Reservationless Toll Free 800 conference calls, the conference Organizer will pay $0.07 per minute for each Participant in the conference. Since the Participants in the conference will use a toll free number they will not pay long distance charges. This service is added from the “My Account” page on the InstantConference website. You can access your account directly from the “InstantConference” button on the Outlook toolbar. Under the “Add Services” section, choose “Add Toll Free”, enter your credit card information and receive your Toll Free dial-in number instantly. For more information click here.
Do you place a surcharge on the call? Will anything extra appear on my phone bill?
No. There are absolutely no surcharges for basic InstantConference service. For Reservationless toll conferences nothing extra will appear on your bill other than the call itself, billed at your normal long distance rate.
For Toll Free 800 service we bill your credit card for the total amount of time each participant is present in the conference call, at the rate of $0.07 per-minute per caller. For Toll Free conference calls nothing will appear on your phone bill.
Why would I want to pay $.07 per minute for Toll Free if I can use the standard service for free?
Many of our users want to host conference calls for their clients or guests and don’t want their participants to have to pay long distance charges to access the conference. Also, it may be more convenient to put the cost of the conference call onto a single credit card bill rather than paying via separate long distance bills for each caller. Many people have found our low per minute rate to be even cheaper than the rates they would pay for regular long distance.
Where do I get my Dial-in Number, Access Code and Subscriber Pin?
Once you’ve downloaded the Outlook Add-In you are prompted to sign up for an account and are assigned a Dial-in Number, Access Code and Subscriber Pin at that time.
I already have an account with InstantConference, including an On Demand dial-in number. Is this the same number you use for the Outlook Add-In?
Yes, if you have an account at InstantConference, your On Demand dial-in number will be the same. Your Outlook Add-In feature will be assigned a new secure access code.
Will I get the same conference information to use if I install the Outlook Add-In on multiple computers?
Yes, if your registration information (based on the email address you provide) is the same. If you wish to have a different account, you will need to register under a different email address.
Can I manage my InstantConference Add-In account?
Yes. Under the InstantConference dropdown on the Outlook toolbar select the “My Account” button to access account management tools that allow you to add premium services, and edit your personal information, conference preferences and billing information.
Can I uninstall the InstantConference Outlook Add-In?
Yes. To uninstall the Outlook Add-In click on “Start”, “Control Panel”, “Add or Remove Programs”, highlight” InstantConference Outlook Add-In” and choose the “Remove” option.
Can I schedule recurring conference calls for a regularly held meeting?
Yes, for regularly held meetings select “recurrence” from the Outlook toolbar and fill in the information as you normally would for any recurring meeting. When finished, click on “send updates” or “send” as you normally would and your invitations will be sent with the conference information automatically input into your calendar.
How am I able to invite my participants using the InstantConference Outlook Add-In? Can I keep them grouped to stay organized?
To invite participants using the Outlook Add-In, find and select them from your existing contacts list. If they are grouped in your Outlook Contacts you are able to select the group you wish to invite without having to select each person.
How much time in advance do I need to schedule my meeting before it can take place?
All calls can be placed immediately without prior scheduling or notice.
How many people can I have on my conference call?
The Outlook Add-In can support up to 150 participants for as long as 6 hours per conference call.
Do you provide local numbers in my area to reach your service?
We do not provide customized local numbers for any one person’s area code. Our conference facilities are centrally located to balance long distance services across our full customer base within networks we believe will operate to maximize reliability of the 100% digital connections they manage.
Can you record a conference call?
Yes, you can have your conference recorded free!
To record anytime during the conference, the host can enter
. The host will then be prompted to enter the subscriber pin. Each participant will then be required to acknowledge acceptance to continue participating. To stop the recording, press
again. Once the recording is complete, it will remain available until you record over it or up to 120 days. You can record an unlimited number of times.
Your recordings are automatically converted to MP3 format and are playable on any computer or MP3 digital audio player. Within two hours of the conference’s end time, you’ll receive an e-mail containing instructions and a link to the computer download along with a telephone number and access code for telephone playback of your recording. At that point, your conference call recording is available for immediate telephone playback for up to 150 callers at the same time. Alternatively, simply download the MP3 file and forward to others or play back at your leisure. Once you have downloaded your recording, it is yours to use, edit, or share without any limitations.
Will I know who has accepted my invitation?
Yes, invitees are provided with an “accept” and a “reject” button in the invitation, as with any outlook meeting invitation. Once they have chosen a response, organizers will be notified of their status.
